Bring Order to a Shared Office Space: Six Simple Tips
January 25, 2017
Some people seem to thrive on noise and chaos, while others need a peaceful, neat workspace to function effectively. Co-workers who are noisy or have untidy habits can create tension and lead to inefficiencies in a shared workspace where co-workers job share or collaborate in a “hot desk” setting.
Follow these six simple tips to declutter any shared workspace or office environment.
1. Start With the Small Things
Declutter instantly and create a sense of space and order with desk accessories and organizers. The most spacious desk organizers have multiple cavities, trays and drawers to hold essential bits and pieces, such as pens and pencils, scissors, paper clips, sticky notepads and even plastic drink bottles. Some organizers also feature partitions to hold mail or other paperwork. Alternatively, matched desktop storage items in a range of choices include designs such as black mesh, black brocade, clear or smoky acrylic. With so many options, you’re sure to find something to coordinate with your office decor and encourage neater desks.
2. Deal With Piles of Files
The paperless office is still the stuff of dreams for many work places. It's amazing how quickly desks disappear under piles of files, memos, orders and other pieces of paper. A file sorter or self-stacking letter tray offers a quick and easy way to store manila file folders and everyday paperwork that's needed close at hand or papers stowed in preparation for filing. If desk space is tight, a wall-mounted desk shelf offers the perfect solution, keeping files orderly and accessible.
3. Rethink Dead Space
Equipment such as monitors and traditional telephones can take up a lot of desk space. Free up dead workspace beneath these large items and create a more ergonomic working environment by elevating office equipment to a more user-friendly height. A monitor stand with letter-size trays can elevate a screen to eye level, easing the strain on neck and shoulders. A phone stand can create a space to hold directories and also act as a side pocket for a notepad and pen, helping your co-workers avoid the usual "Hang on while I find a paper and pen" declaration as they scramble around while taking calls.
4. Create a Cave
In extreme cases where privacy or noise reduction are important for your job, consider installing cubicles. Panel and cubicle systems or portable partitions can mark out individual work spaces while providing ample storage space for stationery. Fabric-coated privacy panels also provide a ready surface for pinning notes and reminders, or adding personal items such as photographs that would otherwise add clutter to the desktop.
5. Turn Your Back
This may feel antisocial, but turning a desk to face the wall can create more space and aid in concentration. Fix overhead storage cabinets and wall shelves, or install a hutch on the desktop and place a pedestal filing cabinet and drawer set under the desk to keep everything ordered and close at hand.
6. Bringing Home to Work
On a typical day, co-workers might bring outdoor coats, jackets, cardigans, bags and umbrellas into work. Health-conscious co-workers that jog or cycle to the office often need to store a change of clothes, toiletries, shoes and a backpack. These and other personal items can clutter chair backs, encroach on work spaces and litter floors to create chaos and tripping hazards. A combination wardrobe/storage cabinet is the perfect solution. With a hanging rail to store clothing and plenty of adjustable shelves to help hide workout sneakers and bags, as well as store office stationery, these office storage systems let you shut the door on mess and clutter. High-security locking systems also mean personal possessions will be stored securely.
When clutter and noise threatens workplace relationships and prevents effective working practices, it's time to tackle the mess head-on and invest in some office organization systems. Transform the overall appearance of the office and create a healthier, more harmonious atmosphere. Even the untidiest co-workers appreciate the convenience of being able to find things quickly without rifling through piles of files and other clutter every time they urgently need to find a document.
